Hodophiles Xplore Visas is committed to maintaining the confidentiality and privacy of our clients. We take reasonable measures to safeguard personal information from misuse, loss, unauthorized access, modification, or disclosure. We collect and use personal information for the primary purpose intended, as well as for related secondary purposes and as permitted by the Privacy Act. We prioritize our clients’ privacy and adhere to these principles to ensure their trust and confidence. Generally, we disclose client information for purposes such as

Hodophiles Xplore Visas has a strict policy of not issuing refunds under any circumstances for clients who withdraw from our services early. This means that if a client chooses to terminate their service with us before completion, they will not be eligible for a refund, regardless of the reason for withdrawal

1. The refund percentages mentioned apply to the full-service fee paid, not just the amount paid. To be eligible for a refund percentage, the complete fee of the product must be paid in full, with no outstanding balance. If the full-service fee is not paid, clients will not be eligible for a refund percentage, even if they meet one of the mentioned clauses. This means that refund percentages are only applicable when the entire fee is paid upfront, with no exceptions.

2. We often register clients in advance of immigration pronouncements to ensure they meet the cap system, based on future expectations. By doing so, clients acknowledge that they are aware of this approach and are willing to prepare ahead of time to avoid last-minute rushes. If, after the announcement, a client’s profile is deemed ineligible, they have the option to transfer to alternative opportunities.

3. Hodophiles Xplore Visas maintains a strict zero-tolerance policy regarding chargebacks. If a customer initiates a credit card dispute that is deemed invalid, they will be permanently barred from using our services and added to our blacklist. Additionally, any outstanding fees and costs will be sent to collections, and if necessary, unpaid debts will be reported to all relevant Credit Reporting Agencies if our collection efforts are unsuccessful.

4. The client acknowledges and agrees that the total invoice amount, including the Hodophiles Xplore Visas consultation fee and applicable tax, is payable. However, in the event of a refund, it will be calculated solely based on the consultation fee, excluding the tax component, which is non-refundable under all circumstances.

5. In the event of a rejection by the Immigration Authorities, Hodophiles Xplore Visas will refund the applicable amount as per the agreement. To initiate the refund process, the client must submit the Online Refund Claim Form within the specified timeframe, accompanied by a copy of the rejection letter from the Authority or a rejection stamp on their passport. Upon receiving the completed form and supporting documents, Hodophiles Xplore Visas will process the refund within 30-45 working days. Failure to provide the required documents will result in the refund being withheld.

6. The company disclaims any liability for delays or disruptions caused by third-party services. Additionally, clients are advised that service charges are non-refundable, and no claims for refunds will be entertained in this regard.

7. Hodophiles Xplore Visas assumes no responsibility for refunding fees or charges paid to external entities, such as Assessing Bodies, Immigration Authorities, or Embassy/Consulate/High Commission, in the event of a client’s immigration application being rejected or not approved. Our fees solely cover the services provided by Hodophiles Xplore Visas and do not encompass any additional request or assessment fees. The client acknowledges and agrees to bear the cost of any supplementary fees that may apply.

8. The client agrees that if they have made a payment through an online card service, they will not initiate a chargeback or withdraw the amount without prior knowledge and consent from Hodophiles Xplore Visas. This applies to all payment modes, except in cases where refunds are governed by the norms outlined in the agreement and the procedures prescribed by law under the jurisdiction of Delhi, State of Delhi.

9. If the client has made a payment through Credit Card or Net Banking, they voluntarily agree not to dispute the payment or initiate a chargeback with their bank, requesting cancellation or withholding of the payment made to Hodophiles Xplore Visas. The client further agrees to inform their bank that the payment is genuine and legitimate, even in cases of misuse or card loss, either by themselves or others. Additionally, the client commits to cooperating with Hodophiles Xplore Visas if they choose to defend or represent the matter before any bank or authority, in order to resolve any potential disputes in favor of Hodophiles Xplore Visas.

10. The service charges imposed by Hodophiles Xplore Visas are based on the company’s internal standards, to which the client has agreed. These charges are not comparable to market rates. Any claims or disputes regarding the charges being too expensive will not be entertained after registration, as the client was fully informed and aware of the charges through various sources of information before registering. By registering, the client waives their right to contest the service charges.

11. The client acknowledges that immigration requirements, including proof of sufficient funds, vary by country and pathway/category. The client agrees to meet these requirements as specified by the relevant immigration or other authorities. If the client fails to provide the necessary funds, Hodophiles Xplore Visas will not be held liable for any refund of service charges. In such cases, requests for refunds of service charges will not be considered.

12. The client acknowledges that any prior registrations with Hodophiles Xplore Visas for immigration to various countries, if made before the date of this client declaration agreement, will be considered null and void. No claims for services or fees related to these prior registrations can be made unless explicitly acknowledged and confirmed in writing by Hodophiles Xplore Visas.

13. No refund will be provided if the permit is rejected due to:

• Failure to attend the interview
• Medical test failure by the client or their family members
• Non-compliance with Embassy or Consulate requirements
• Failure to provide a genuine Police Clearance Certificate (at least 3 months old)
• Inability to prove sufficient funds for settlement
• Prior violation of immigration laws by the client or their family members
• Late submission of additional papers requested by the consulate
• Failure to achieve the required English language test score
• Abandoning the case within 3 months of registration
• Non-communication with the consultant for a period of 3 months (considered abandonment)

14. The client is solely responsible for paying fees to authorities or other institutions, which are not covered under the service charges paid to Hodophiles Xplore Visas. In the event of a rejection, the client will not be entitled to a refund of these fees, and Hodophiles Xplore Visas will not consider any claims for refund in such cases.

15. The client is required to provide all necessary documents, forms, and information within 30 days to enable Hodophiles Xplore Visas to process their application and prepare it for submission to the relevant assessing or immigration authority. Failure to provide the required materials within this timeframe will result in the client forfeiting any claim to a refund of the advisory or consulting fee paid to Hodophiles Xplore Visas.

16. The client is required to notify Hodophiles Xplore Visas in writing within one week of receiving any communication from the office, whether via phone or in writing. Additionally, the client must also inform Hodophiles Xplore Visas of any direct communication made with the relevant authorities, including personal visits, phone inquiries, or written correspondence, within seven days of such contact. Failure to do so will result in the client forfeiting any claim to a refund of service charges paid to Hodophiles Xplore Visas.

17. The client agrees to attend all required interviews, as scheduled by the relevant agency, at the designated location, and at their own expense. The client must promptly comply with all instructions and directions given by the agency. Failure to do so will result in the client forfeiting any claim to a refund of service charges paid to Hodophiles Xplore Visas, and no refund will be entertained.

18. In the event that a request or petition is returned, rejected, or delayed due to an error in the payment or mode of payment of the request fee, the client agrees to accept full responsibility and not dispute the withdrawal of their request on this ground. The client acknowledges that the payment and mode of payment of the request fee is their sole liability, and Hodophiles Xplore Visas will not be held accountable for any errors or consequences resulting from the client’s actions.

19. The client understands and acknowledges that submitting a request for immigration is a complex and dynamic process that is not routine, generic, or bound by a fixed timeline. The assigned case officer may request additional documentation at any time, as required by the evolving procedures of the immigration authorities. The client agrees to comply with such requests and provide further submissions as needed. Any requests for refunds based on these grounds, including delays or requirements for additional documentation, will not be considered or entertained.

20. The client acknowledges and agrees that once they sign up for services with Hodophiles Xplore Visas, no refunds or transfers of fees will be permitted if they choose to abandon their request or opt out for any reason during the proceedings. This means that the client’s fee will not be refunded or transferred to another individual, including friends or relatives, under any circumstances, once the client has initiated the process and signed up for services.

21. The client agrees to provide all necessary information and documents, including English translations, in the format required by Hodophiles Xplore Visas and the relevant authorities. The client acknowledges that the immigration consultancy’s services are based on the accuracy and completeness of the information and papers provided by the client. If the furnished details are found to be inaccurate, fake, deficient, or incorrect, the application will not be accepted by the immigration authorities. In such cases, Hodophiles Xplore Visas disclaims all responsibility for any adverse impact on the outcome of the petition, including rejection. Furthermore, the client will not be entitled to claim a refund of either the consulting fee or the amount paid to government organizations under these circumstances.

22. Hodophiles Xplore Visas reserves the right to terminate or withdraw its services and retain the service fee, under the following circumstances:

• Failure to submit all required papers within the stipulated time (normally one month) from the date of registration.
• Attempting to harm the company’s reputation or business operations through malicious actions.
• Non-response to company communications (emails and calls) for over a month, resulting in withdrawal due to personal reasons.
• Hodophiles Xplore Visas reasonably suspects that someone other than the client is attempting to access the Service for personal benefit.
• Hodophiles Xplore Visas, at its discretion, determines that the client’s behavior renders the consultant unable to continue providing services

23. The client hereby agrees to comply with all requirements and regulations set by the relevant authorities responsible for assessing and determining the outcome of their application. This includes submitting all necessary documents, including original papers if requested. The client acknowledges that any failure to provide these papers, or any part thereof, is solely their responsibility and Hodophiles Xplore Visas cannot be held accountable. Therefore, the client understands that failure to produce required papers cannot be grounds for a refund claim, and they waive their right to seek a refund in such circumstances.

24. The client is responsible for settling all applicable charges and fees associated with various government bodies, skills assessment organizations, language testing entities, and other relevant authorities. These charges may include, but are not limited to, skills appraisal fees, residency permit application fees, English language proficiency tests or other language tests, health tests, and more. Please note that these charges are strictly non-refundable and non-adjustable, regardless of the final outcome of the petition. The decision to approve or reject an application rests solely with the relevant authorities, and Hodophiles Xplore Visas has no control or influence over the outcome at any stage of the process. Furthermore, Hodophiles Xplore Visas does not guarantee a favorable assessment or outcome of the client’s petition at any point, and no such assurances have been made.

25. The client is required to notify Hodophiles Xplore Visas of any changes or updates, including but not limited to, changes in residential or mailing address, educational or professional qualifications, marital status, employment or company, birth of children, or any involvement in police or unlawful cases, from the time of petition submission until the issuance of the Permanent Residence Permit. Failure to inform Hodophiles Xplore Visas of such changes will result in the client forfeiting any claim to a refund of advisory fees paid to the immigration consultancy. It is the client’s responsibility to keep Hodophiles Xplore Visas informed of any changes that may impact their application

26. The client agrees to take the required English language proficiency test (or other language test, if applicable) and achieve the minimum required scores in each of the four assessment components – Listening, Reading, Writing, and Speaking – as specified by the relevant authority or assessment body. The client understands and acknowledges that their application cannot be submitted without the necessary language test results, including those for partners or dependents over 18 years old. Furthermore, the client recognizes that failure to achieve the required language test scores will result in no refund of the advisory, consulting, or secretarial services fees paid to Hodophiles Xplore Visas, as the client’s petition cannot be processed without meeting this essential requirement.

27. The client is also responsible for ensuring that their spouse or acceptable dependents, if included in the application, meet the required language proficiency standards. This includes taking the necessary English language proficiency test (or other language test, if applicable) and achieving the minimum score required as per the Service Level Agreement with Hodophiles Xplore Visas. The client must ensure that their dependent/s obtain the required language test report with the minimum score, as applicable, in order to be considered a valid dependent in the application process.

28. By signing or acknowledging this agreement to utilize our services, the client acknowledges that they are committed to completing the entire procedure and cannot withdraw at any point due to personal circumstances that may have changed. No requests for refunds or settlements will be considered or entertained. As a business with significant investments, we have a strict no-refund policy once services have been rendered or any part of the procedure has commenced, and we cannot accommodate requests for exceptions.

29. The client is required to fully disclose to Hodophiles Xplore Visas all details of any past or present criminal convictions, wrongdoing, or insolvency cases involving themselves or their dependents. Failure to reveal such information, and subsequent discovery of undisclosed facts, will result in forfeiture of all fees paid to Hodophiles Xplore Visas, and no refunds will be issued. It is essential that the client provides complete and accurate information to ensure a successful application process.

30. Hodophiles Privacy Policy

Hodophiles Xplore Visas provides receipts for all payments received; however, please note that the company bears no responsibility for payments made directly to any third party or outside of our official payment channels. It is essential to ensure that all payments are made through authorized means to maintain a secure and transparent transaction process.

• The client acknowledges and accepts that they have been informed of the typical waiting periods or average processing times associated with their specific permit class. The client understands that these waiting periods are solely determined by the relevant office or appraisal body and are subject to their convenience. Furthermore, the client agrees and acknowledges that they will not be eligible for any refunds of fees paid, either on-site or off-site, due to extended processing times or delays in the petition process. By accepting this, the client waives any claims for refunds related to processing timeframes.
• Hodophiles Xplore Visas does not provide any guarantees, assurances, or promises of employment or job opportunities in the destination country upon approval of the permit or after arrival. The client acknowledges that Hodophiles Xplore Visas is not responsible for securing employment abroad and that no refunds of advisory, consulting, or secretarial service fees will be claimed or entertained on the grounds that Hodophiles Xplore Visas was unable to provide a job guarantee. The client understands and accepts that the services provided by Hodophiles Xplore Visas are limited to immigration consultancy and support, and do not extend to job placement or employment assurance.
• In the event of a dispute or discrepancy regarding payments made by a client to Hodophiles Xplore Visas under the Service Level Agreement, Hodophiles Xplore Visas’ liability, if any, shall be limited to the amount of advisory, consulting, or secretarial fees paid by the client as per the agreement. Hodophiles Xplore Visas’ responsibility shall not exceed this amount, and the client shall not be entitled to claim any additional compensation or damages beyond the scope of the fees paid for the services rendered.
• Please note that certain countries have a cap system in place, which limits the number of Green Cards/Permanent Residences issued annually. Even if a client meets the required points and criteria set by the immigration authorities, they may still not receive a Green Card/Permanent Residence if the cap has been reached for that year. The client acknowledges and understands that failure to secure a Green Card/Permanent Residence due to the cap limit is not a valid reason for requesting a refund, and they waive any claims for refunds in such circumstances.
• The service fee specified is for a single individual’s application, as outlined at the time of registration, and encompasses the full scope of services. Any expectation of extended services to include family members or children is solely at the client’s discretion and not implied. The company will not be held liable for any assumptions made by the client regarding additional services beyond what is explicitly outlined in the agreement.
• The client is required to fully disclose to Hodophiles Xplore Visas all details of any past or present cases involving wrongdoing, convictions, or insolvency, affecting both themselves and their dependents. This includes, but is not limited to, all relevant information pertaining to criminal records, financial history, and any other pertinent matters. Failure to reveal such information, and subsequent discovery of undisclosed facts, will result in forfeiture of all fees paid to Hodophiles Xplore Visas, and no refunds will be issued. It is essential that the client provides complete and accurate information to ensure a successful application process.

Please note that all fees paid to Hodophiles Xplore Visas are for the specific services listed on our website, unless otherwise stated. Our fees are quoted in Indian Rupees and are subject to applicable taxes. It is the client’s responsibility to pay all fees and taxes using one of our accepted payment methods. Hodophiles Xplore Visas is a Private Limited company, and not affiliated with any government authority, organization, or embassy. We provide advisory and guidance services to individuals seeking to migrate or travel to their chosen country, but we do not have the authority to grant permits or visas. The final decision on all applications rests solely with the relevant government departments in their respective countries. Our role is limited to assisting and advising clients throughout the application process.

Our client agreements are built on a foundation of trust, sincerity, and security, with all terms and conditions clearly outlined and transparent. We operate with complete openness and honesty, ensuring that every aspect of our services is explicitly stated, leaving no room for ambiguity or hidden clauses. This approach allows our clients to have a clear understanding of our partnership and what to expect from our services.
The client understands and acknowledges that Hodophiles Xplore Visas does not endorse or impose any specific service or product, and that the selection of a particular service or product is the client’s sole decision and responsibility. The client recognizes that any choices made regarding services or products are their own individual judgment and cannot be attributed to the company’s advice or recommendation at any time.
Hodophiles Xplore Visas promotes its services and products in a neutral and informative manner, empowering clients with knowledge about the available opportunities. We strive to create an environment free from external pressure, allowing clients to make informed decisions about our services and products without any coercion or influence. Our approach prioritizes client autonomy and self-directed choice.
By signing or acknowledging this agreement, the client confirms that they have thoroughly reviewed and understood all the provisions outlined above, and agrees to be bound by and comply with all the terms and conditions. Hodophiles Xplore Visas, with its registered office in New Delhi, India, operates and is controlled under the laws of the Government of India and the State Government of Delhi. This agreement shall be governed by and construed in accordance with the laws of India and Delhi. In the event of any dispute arising between the company and any individual, the courts in New Delhi shall have exclusive jurisdiction to resolve such disputes.
Force Majeure. In no event shall the Company be responsible or liable for any failure or delay in the performance of its obligations hereunder arising out of or caused by: 

• Acts of God, natural disasters, or extreme weather conditions
• Wars, insurrections, civil unrest, or terrorist attacks
• Government restrictions, regulations, or embargoes
• Strikes, lockouts, or labor disputes
• Pandemics, epidemics, or public health emergencies
• Power failures, telecommunications outages, or internet disruptions
• Other unforeseen circumstances beyond the party’s control

In the event of a force majeure or unforeseen circumstances, the company will use reasonable efforts to resume services as soon as possible. However, your file will be withheld or deferred until the situation is brought under control. Please note that if you are found ineligible to apply, no refund will be issued for the service fee paid, as services have already been initiated. Regarding chargebacks, the client acknowledges that Hodophiles Xplore Visas invests significant resources and expenses in providing services, including employee time and infrastructure. Regardless of the outcome of the application, the client agrees not to claim a refund of fees and charges paid to Hodophiles Xplore Visas, except as provided in this agreement.

By signing up for our services, the client acknowledges and understands the specific deliverables included in the service. In consideration of this understanding, the client agrees not to initiate a chargeback (which applies solely to card payments) and waives any rights to dispute the charges, except in cases where a refund is explicitly provided for in this agreement
